The CMS' Closed Report Notifications feature allows a company to be notified when a report has been in closed status for a certain period of time based on the country of origin of the report. This notification check of closed reports occurs daily and an email notification is sent to administrators identifying all reports that meet the criteria defined by the company. This feature is available to clients at the Enterprise Service Level.
If Lighthouse has enabled the company level option to provide email notifications to administrators on closed reports, you will have access to the Manage Closed Report Notifications page shown below by selecting the 'Manage Closed Report Notifications' button on the Edit Settings page. This page allows an administrator to create a notification when a report has been in closed status for a certain period of time.
To Create a new notification, click on the Add icon, , on the page toolbar. This will display the Add Closed Report Notification page shown below.
The Country of Origin and the Number of Days in 'Closed' Status field are required for a notification rule. The daily Closed Report Notification to all administrators depends on the Notification rule created. The notification check identifies all reports that are from a certain country and have remained in a closed status for a certain number of days. For example, if the rule above listed 'Switzerland' as the Country of Origin and 30 as the Number of Days in 'Closed' Status, then a notification email will be sent to the administrators if there exists a report whose country of origin was 'Switzerland' and that report has been in Closed status for more than 30 days. The notification email will be sent one day following the number of days listed in the 'Number of Days in Closed Status' field. An example of the notification email is shown below.
Creating a rule using 'ALL COUNTRIES' in the Country of Origin field will apply to all countries and take precedence over any other existing country rule.
The 'Include in Closed Report Notification Check' checkbox determines whether or not a report should be included/excluded by default when a report from the Country of Origin
specified is created in the CMS.
To Edit an existing notification rule, click on the Edit Record icon, , on the row of the notification rule as indicated below.
Make the necessary changes on the Edit Closed Report Notification page shown below.
The 'Include in Closed Report Notification Check' checkbox determines whether or not a report should be included/excluded by default when a report from the Country of Origin specified is created in the CMS.
An administrator (or non-administrator with Edit Report permission) can include or exclude a specific report from the Closed Report Notification check by unchecking the 'Include in Closed Report Notification Check' on the Add/Edit Incident Report page.
Note: The closed date field is not available for reports closed prior to 2/3/2016.
